Separate the states
Authorization asks whether a transaction can proceed under current rules and available credit. Capture tells the merchant side to present the transaction. Clearing exchanges transaction detail, and settlement moves obligations between participants. Merchant funding can occur on a separate timetable.
Store stable references for each stage so support can distinguish a decline, expired authorization, duplicate capture, delayed settlement, or funding hold.

Reconcile from order to deposit
Match the order amount, captured amount, refund activity, dispute activity, processing fees, batch total, and bank deposit. Timing and aggregation can prevent a one-to-one match.
A dashboard status should map to the processor and bank evidence rather than replace it.
Follow one test transaction through every state and reconcile its net contribution to the bank deposit.
